What should you know before implementing an EMS?

An effective EMS isn't about creating bureaucracy - it's about building a practical system that works for your team and drives real improvement. The key is making it proportionate, actionable, and easy to maintain over time. Here's what matters most:

Start Icon Green Business Brand Circle

Start with
what you know

Most SMEs are already taking environmental action - an EMS simply organises and formalises what you're doing.

Hand Icon Green Business Brand Circle

Keep it
proportionate

Systems designed for multinational corporations don't work for small teams. Scale matters.

Achievement Icon Green Business Brand Circle

Make it
actionable

Generic policies and vague commitments don't drive change. Focus on specific, achievable actions.

Planning Icon Green Business Brand Circle

Build for
maintenance

Complex systems fail in SMEs. Your EMS needs to be something your team can actually keep up to date.

Think Icon Green Business Brand Circle

Think beyond
compliance

A good EMS strengthens procurement responses, supports certification applications, and improves operational efficiency - not just ticks boxes.

BOOK A CALL

What makes environmental management challenging for SMEs?

Most SMEs want to act responsibly, but turning good intentions into structured systems feels daunting. Between competing priorities, limited capacity, and uncertainty about what "good enough" looks like, environmental management often gets stuck on the to-do list.

Overwhelm from
ISO complexity

ISO 14001 was designed for large organisations. SMEs struggle with disproportionate documentation, formal procedures, and certification costs that don't fit small business realities.

Uncertainty
about where
to start.

Knowing which impacts matter most, what actions to prioritise, and how to structure an EMS isn't straightforward without guidance.

Maintaining
momentum

Even when systems are set up, keeping them updated and tracking progress over time is hard for busy, small teams.

Procurement pressure
without clarity

Tenders ask for "ISO 14001 or equivalent" but SMEs often don't know what credible alternatives qualify or how to evidence them.

No dedicated
sustainability
resource

Environmental management lands on someone's desk as an add-on to their day job, creating stress and inconsistent progress.

Fear of
bureaucracy

Concerns about creating paper-heavy systems that nobody uses stop action before it starts.

The business case
for action

Beyond compliance, the Green Business Certification delivers real business value.

Unlock procurement
opportunities

94% of UK government tenders now include environmental criteria (Cabinet Office PPN 06/21). An EMS keeps you eligible for public sector contracts, corporate supply chains, and framework agreements.

YOUR QUESTIONS ANSWERED

What is an Environmental Management System (EMS)?

An Environmental Management System is a structured framework that helps businesses identify, manage, and reduce environmental impacts. It includes an environmental policy, processes for managing impacts, and action plans tailored to your business.

The two primary certification schemes are ISO 14001 and EMAS. Green Business offers a streamlined EMS specifically designed for SMEs as an ISO 14001 alternative - proportionate, practical, and focused on meaningful change rather than heavy administration.

Why is implementing an EMS important for businesses?

An EMS provides a systematic approach to managing environmental responsibilities. It helps improve sustainability performance, ensures regulatory compliance, enhances reputation, supports procurement requirements (like PPN 006), contributes to certifications like B Corp, and effectively manages environmental risks.

For SMEs, it's increasingly essential for market access and competitive positioning.

What does your Environmental Management Systems support cost?

Our Environmental Management System pricing is designed to be accessible for SMEs and is based on business size, business type, and the level of support required. Book a call with the team to get a tailored quote.

How can I evidence 'ISO 14001 or equivalent' for tenders?

Green Business provides an ISO 14001-equivalent EMS used by dozens of clients for procurement requirements. Where closer alignment with ISO 14001 is needed, we can provide an EMS Manual that responds to all mandatory requirements of the ISO standard. All clients with active EMS receive Green Business Certification as independent validation.

Is the EMS tailored to my specific business needs?

Yes, completely. We account for your size, industry, and environmental impacts to develop a proportionate and practical system. Our approach ensures the EMS aligns with your operations, helping you achieve meaningful improvements without unnecessary complexity or generic templates.

How much work is involved in preparing an EMS?

It depends on your business type and environmental impacts. Using our Handbook and tools, most small businesses could have a streamlined EMS in place with 2-4 days work. Alternatively, you can let us do the work for you - requiring just a couple of hours of your time for review calls and workshops.

How do I track and update my EMS?

The Green Business Portal is our interactive platform used by all clients. It allows you to monitor progress on individual actions, access advice and resources, assign responsibilities, add team members, and download your action plan with progress notes. We require annual updates to maintain Green Business Certification, and the portal makes this straightforward.

What's the difference between an EMS and a carbon footprint?

A carbon footprint measures your greenhouse gas emissions.

An EMS is a broader management framework covering all significant environmental impacts - energy, waste, water, materials, travel, biodiversity, etc. Many businesses combine both: using carbon footprinting for emissions measurement and an EMS for structured management and improvement across all environmental areas.

How does Green Business Certification work?

All businesses with an active EMS through our framework are eligible for Green Business Certification. We look for two things: (1) a stated commitment to improving management of significant environmental impacts, and (2) a policy and action plan to deliver that commitment.

Annual renewal requires demonstrating ongoing improvement. Certification provides independent verification for tenders, clients, and stakeholders.
